Duties of Elected and Appointed Officers

 

President

  • Shall preside over all official meetings of the Chapter.

  • Shall serve as the representative of the Chapter.

  • Shall appoint standing and special committee chairpersons with the advice and consent of the Executive Officers, except where otherwise provided for in this document.

  • Shall not be entitled to vote on any NSBE-DFW PROFESSIONALS matter while presiding over the General Membership, Executive Board, or Standing Committee, with the exception of ties and elections.

  • Shall be an ex officio member of all standing committees.

  • Shall render reports and accountings to the General Membership, the Chapter Executive Board, and National Office as required by the National Operating Guidelines.

  • Shall have the general powers and duties of management usually invested in the office of President including general supervision, direction and control of the business affairs of the Chapter.

  •  Shall govern over the Administrative Zone

Vice President

  • Shall preside in the absence or the inability of the President.

  • Shall perform any activities, duties, and responsibilities as designated by the President.

  • Will act as the Director of the Membership and  Social Zone of the chapter.

  • Shall render reports and accountings to the General Membership, the Chapter Executive Board, and National Office as required by the National Operating Guidelines.

  • Shall work with the Regional Programs Chairperson in order to develop uniform programs within the chapter in keeping with the goals of the Society.

 

Secretary

  • Shall fill and countersign all certificates issued and keep and make proper entries in the books of the Chapter.

  • Shall serve all notices required by law or the By-laws.

  • Shall record accurately the minutes of all meetings of the General Membership and the Executive Board and make available the minutes to all members upon request.

  • Shall keep or cause to be kept a register that shows the names, addresses, and phone numbers of the current officers.

  • Shall maintain a copy of the most updated version of the NSBE-DFW PROFESSIONALS Constitution, NSBE-Professionals Operating Guidelines, NSBE Constitution, NSBE By-laws and Election Guidelines. Shall publish and disperse said documents as necessary required or requested.

  • shall require from the Executive Board, standing committees, and special committees of the Chapter, a record of the activities of said body.

  • Shall render reports and accountings to the General Membership, the Chapter Executive Board, and National Office as required by the National Operating Guidelines.

  • Will act as the Director of the “Communications Zone” of the chapter, and thereby oversee the Telecommunications and Publications standing committees.

  • In case of absence, refusal or inability to act, the duties of the office may be performed by any person whom the Executive Board may direct.

 

Treasurer

  • Shall keep accounts and deposit organization funds of the NSBE-DFW
    PROFESSIONALS Treasury. Accounts should reflect the financial conditions, business
    transactions, assets, liabilities properties, receipts, disbursements, gains, losses, and
    financial trends of the organization. Depositories and valuables, shall be in the name of
    the association and in a manner prescribed by the Executive Board.

  • Shall ensure that expenditures made for the Chapter’s business be in a manner
    approved by the Executive Board.

  • Shall maintain the membership roll and collect annual dues of the Chapter in a manner
    developed along with the Executive Board.

  • Shall render reports and accountings to the General membership, the Chapter Executive
    Board, and National Office as required by the National Operating Guidelines.

  • Shall ensure on a periodic basis that the book of accounts be audited in a manner
    prescribed by the Executive Board.

  • Will act as the Director of the “Finance Zone” of the chapter, and shall manage and thereby oversee the Finance, Membership, Social and Banquet standing
    committees.

  • Treasurer’s report (1st and 15th of every month)

  • Work with the Finance Chair to revise the Corporate Solicitation Packet (CSP)

  • Sign-up for Dallas Give Camp

  • Sign-up for North Texas Give Day

  • Use PayPal or Eventbrite, but not both to avoid fees

  • Work with membership chair to update member list, listserv, and confirm who has paid

  • Update IRS filings each year

 

Programs Chair

  • Shall coordinate the activities of the Standing Committees and appointed committees
    responsible for NSBE Professionals programs and serve as a liaison between these
    committees and the DFW Professionals Executive Board.

  • Shall identify and implement national programs to meet the goals and objectives of the
    NSBE Professionals.

  • Shall represent the Regional Professionals Executive Board as a member of the
    Regional Professionals Programs Zone.

  • Shall manage programming for the Institute of Chapter Development for the
    Professionals Chapter.

  • Shall manage and govern the Programs Zone, thereby oversee the Professional
    Development, College Initiative and Pre-College Initiative standing committees

  • Will act as the Director of the “Programs Zone” of the chapter, and thereby oversee the
    Professional Development, College Initiative and Pre-College Initiative standing
    committees.

  • Shall render reports and accountings to the General Membership, & the Chapter
    Executive Board, as required by the National Operating Guidelines.

  • Shall work with the Regional Programs Chairperson in order to develop uniform
    programs within the chapter in keeping with the goals of the Society. 

 

Telecommunications Chair

  • Shall be responsible for development, maintenance and implementation of the NSBEDFW PROFESSIONALS Internet site.

  • Shall be responsible for management of the NSBE-DFW PROFESSIONALS electronic
    mail listserv.

  • Build communications zone committee

  • Post Advisory Board profiles on website

  • Electronic form for officer bios (Name, Degree(s), Alma Mater, Favorite Quote)

 

Publications

  • Shall be responsible for the coordination, publication, and distribution of the NSBE-DFW
    PROFESSIONALS Chapter Newsletter.

  • In cooperation with the Telecommunications committee, shall be responsible for publicity
    of major chapter events. 

 

Finance Chair

  • Shall identify and secure new financial resources.

  • Shall manage and develop relationships with Corporate Sponsors

  • Shall work with the Regional Finance Chair as a chapter liason

  • Shall review short, intermediate, and long-term financial goals and objectives; measure 
    performance; assist members to the fullest extent possible in goal achievement; and
    institute control systems to facilitate the administrative process.

  • Shall work with the Treasurer to audit the book accounts on an annual basis.

  • Report to treasurer.

 

Membership

  • Shall coordinate events and other mechanisms for the recruitment of potential new
    members.

  • Shall process membership applications into the Chapter.

  • Shall welcome and orient new NSBE-DFW PROFESSIONALS members into the
    National Society and the Chapter.

  • Shall focus on membership retention.

  • Shall report the chapter membership roll to the national office and ensure payment of
    dues from each member that has been received by the treasurer.

  • Set-up registration table for each general body meeting and sign-up each attendee.

  • Provide list of attendees to executive board following each meeting.

  • Add new members and meeting attendees e-mail addresses to listserv.

  • Update list of members and listserv following each event/meeting

  • Follow-up after meeting with new members

 

Professional Development Chair

  • Shall coordinate the programs and professional development activities that accomplish
    the stated goals and objectives of NSBE and the NSBE DFW PROFESSIONALS
    Chapter.

  • Create a form for sponsors/meeting speakers to complete including name, bio, etc.

  • All requests for meeting speakers will go through PD chairs

  • Create GBM presentation slides

  • Create GBM agenda

 

College Initiative Chair

  • Shall be responsible for forging and retaining a working relationship between NSBEDFW PROFESSIONALS and local Dallas/Fort Worth NSBE student chapters.

  • Shall be responsible for coordinating and sponsoring various activities/programs geared
    toward academic development among college students. In cooperation with the PreCollege Committee, shall be responsible for coordinating and sponsoring various
    activities geared towards introducing and preparing pre-college students to various
    aspects of college life.

  • Shall work with the Regional College Initiative Chair as a Chapter Liason.

 

Pre-College Initiative Chair

  • Shall preside over all official meetings of the Chapter.

  • Shall serve as the representative of the Chapter.

  • Shall appoint standing and special committee chairpersons with the advice and consent of the Executive Officers, except where otherwise provided for in this document.

Social

  • Shall be responsible for coordinating chapter social events for the purpose of networking
    with NSBE-DFW PROFESSIONALS members, other non-profits that share a common
    interest to positively impact the community, members of the community not affiliated with
    any organization but support the chapter’s mission.

  • Shall be responsible for coordinating two annual chapter social events for the purpose of
    fundraising.

  • Upload pics to all social media for all social events

 

Gala Chair

  • Shall organize a committee to or be responsible for the planning and implementation of
    the chapters Annual Scholarship Banquet

  • Shall be responsible for managing and maintaining all the detail related to the
    Scholarship Application process.

  • Work within the Finance Zone to secure funding and participation with the scholarships

  • Secure location by October 1st (banquet to be held during National Engineers’ Week –
    Feb. 25th)
